Job Description  

Reporting to the Dean, Academic Development the Administrative Assistant is accountable for contributing to the effective operations of the Academic Development and Academic Operations and Planning departments. The incumbent is the first point of contact in the department and provides a variety of administrative and secretarial supports to the Dean, Academic Development, Director Academic Operations and Planning, Program Quality Review Administrator, Curriculum Administrator, Curriculum Support Services professors, Administrative Officer and the Cooperative Education Department. The incumbent also supports various cross-college committees, degree consent and consent renewal applications and degree transfer pathway initiatives.

Duties:

  • Supports several College committees.
  • Supports degree consent and consent renewal applications.
  • Provides administrative support towards the establishment and maintenance of articulations/degree pathways.
  • Compiles and distributes agendas, records and transcribes minutes, prepares related materials, and follows up on action items.
  • Acts as receptionist. Responds to inquiries on a range of issues from a wide variety of clients and staff.
  • Maintains the Academic Development and the Academic Operations and Planning departmental websites.
  • Schedules appointments and meetings.
  • Enters leave reports in HRIS and processes purchase requisitions.

Required Qualifications  
  • 2 year Diploma in Office Administration or an acceptable combination of education and demonstrated equivalent experience.
  • 5 years of related practical experience and a least 2 years experience working in a complex College environment, preferably in the academic area.
  • Excellent interpersonal skills.
  • Strong analytical and problem-solving skills.
  • Ability to operate a wide variety of computer software as well as to keep up-to-date on new applications when required.
  • Must be able to utilize College Standard Spreadsheet, Word processing and presentation software to at least intermediate level.
  • Demonstrated working knowledge of the College information systems is preferred.
  • Well-developed verbal and writing skills to effectively communicate with staff.
  • Highly developed minute taking, writing and publishing skills.
  • Knowledge of WordPress and other web publishing software.
  • Very effective organization and time management skills; ability to multi-task and prioritize.
  • Good knowledge of College programs, academic, administrative and organizational structures including college decision making process.
  • Proven team player.
